How to respond to negative restaurant reviews
Reply to a negative review within a day or two, in four short parts: thank them, apologize for the specific problem, say what you changed, and offer to make it right offline. Never argue, never share private details, and never offer a reward for changing the review. Future guests read your reply more than the complaint.
Should you reply to every bad review?
Yes. Google encourages businesses to reply to reviews and says helpful replies show customers you are responsive. A calm reply also tells future guests the problem was handled, which often matters more than the review itself.
The 4-part reply formula
- Thank them by name. "Daniel, thank you for telling us."
- Apologize for the specific problem. Name it. Avoid "sorry for any inconvenience".
- Say what you changed. One concrete fix shows it was heard.
- Take it offline. Give a way to reach the manager. Keep details private.

Slow service or long wait
"[Name], I'm sorry you waited that long. That's not the experience we want for anyone. We've added a second person on the line during the dinner rush. If you'll give us another try, ask for the manager and we'll take care of you."
Cold or wrong order
"[Name], thank you for letting us know, and I'm sorry your [dish] arrived cold. We've changed how we time pickup orders so food comes off the line when you arrive. Please call the restaurant and ask for the manager so we can make it right."
Rude staff
"[Name], I'm sorry. Everyone who walks in should feel welcome, and that didn't happen. I've talked with our team about it. I'd like to hear more, so please call and ask for me directly."
Price or portion complaint
"[Name], thanks for the honest feedback. We use [specific ingredient or process], which shapes our prices, but we hear you on portion size and we're reviewing it. We hope to see you again."
Review that seems fake
"We take every review seriously, but we can't find a visit or order matching this description. Please contact our manager at the restaurant so we can look into it."
Then flag the review in Google for violating policy. Don't accuse the reviewer publicly.
What not to do
- Argue facts in public, even when you're right.
- Share order details, names of staff or anything private.
- Copy and paste the same reply on every review. Guests notice.
- Offer a discount in exchange for removing or changing the review. Google prohibits incentives tied to reviews.
How Forkrado handles 1-star reviews
Forkrado drafts replies in your voice for every review. Replies to 4- and 5-star reviews post automatically. Replies to 1-star reviews always wait for your approval, so nothing sensitive goes out without you.
Questions owners ask
Can I get a negative review removed?
Only if it breaks Google's policies, for example fake, off-topic or abusive content. Flag it in your profile. Real negative experiences stay up.
Should I offer a free meal in my reply?
You can invite them to contact you, but don't make an offer conditional on changing or removing the review.
How fast should I reply?
Within a day or two. A fast, calm reply limits the damage.
Should replies be in Spanish if the review is?
Yes. Reply in the language of the review.
